INCLEMENT WEATHER POLICY

Weekdays

Decision-Making Process:

• Evening Prior:

  1. Frank consults with Eric Cooper, Pastor Michener and Dr. Anderson to evaluate forecasted inclement weather.

  2. If a delay or closure is expected, a decision is made the night before.

• Morning of (7:00 AM):

  1. Frank, Eric Cooper, Pastor Mich (or Tim in Frank’s absence) confer to finalize a recommendation.

  2. After Dr. Anderson’s approval, communication is initiated:

  3. Frank sends an email to the Employee Team group.

  4. Stephanie informs the Leaders Group on the Planning Center (MST Representative in Stephanie’s absence).

Weekend and Evening Events (Excluding Sunday Services)

Pre-Inclement Weather Preparation:

• Friday Setup:

  1. A-frame signs are placed outside for easy access by the snow removal company.

     1. OMR Campus: Pastor Mich sets signs near the back entrance.

     2. COL Campus: Eric Cooper or Pastor Eli places signs at the administrative entrance.

• Decision-Making Process:

  1. By 5:00 AM Saturday:

  2. Frank, Eric Cooper, and Pastor Mich discuss closure/delay needs.

  3. If possible, a text alert is sent the evening prior, notifying the team to expect a call at 5:00 AM.

• Communication Plan:

  1. Frank: Sends an email to the Employee Team group (Tim in Frank’s absence).

  2. Stephanie: Updates the Leaders Group on Planning Center and sends text message to Employee Team Group in PCO (Derek Robinson in Stephanie’s absence).

  3. Eric Cooper: Contacts ministry leaders with scheduled activities.

• Communications Team:

  1. Updates office voicemail.

  2. Posts notices on the website, Lead.Bridgeway.cc, and social media.

  3. Places QR-code signs on the doors directing visitors to updated information.

Sunday Services

Decision-Making Process:

• 4. Conference Call (4:30 AM):

     1. Participants: Minister Ronald Greene, Pastor Mich, Eric Cooper, and Frank.

     2. Input is also gathered from Pastor David.

     3. Decision is finalized by 5:00 AM.

• Communication Plan:

  1. Frank: Emails the Employee Team group (Tim in Frank’s absence).

  2. Stephanie: Updates the Bridgeway Leaders Group on Planning Center and send text message to Employee Team Group in PCO  (Derek Robinson in Stephanie’s absence).

  3. Eric Cooper: Notifies ministry leaders.

  4. Communications Team: Updates voicemail, website, social media, and parking lot signage.

Additional Communication Details

• Media Outlets will be notified

• Announcements:

  1. Update voicemail, website homepage, and social media.

  2. Post cancellation signs at entrances (include QR code linking to the website).

• Notes:

  1. The facility may close during the day for snow removal but reopen for evening activities.

  2. School delays/closures do not automatically affect church operations. Employees needing to stay home with children should coordinate with their supervisor and use PTO if necessary.

  3. Notify any scheduled in-person appointments if the facility is closed.

  4. Rationale for Office Openings Despite School Delays: High schools that typically open at 7:00 AM are open by 9:00 AM.
